Photography & Privacy
Dyfi Valley Weddings, trading as Plas Dolguog
Plas Dolguog respects the privacy of guests, visitors and event attendees. This notice explains how we collect, use and manage photographs and video recordings taken at our venue, in accordance with the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018, as amended.
Photography and Its Use
Photography may take place during weddings, events, retreats, private celebrations and other activities at Plas Dolguog. Images may be captured by our staff, professional photographers commissioned by us, or provided by guests, event organisers and third parties.
Selected photographs may be used to document and promote Plas Dolguog through our website, social media, brochures, advertising and other promotional materials. Photographs may also be taken for legitimate operational purposes.
Consent and Lawful Basis
Where appropriate, we obtain consent from identifiable individuals before using their photographs for promotional purposes, particularly for posed photographs, close-up portraits and images supplied following private events.
We may rely on our legitimate interests under Article 6(1)(f) UK GDPR for general event and venue photography, including wider photographs where individuals appear incidentally. This is subject to an assessment of the necessity of the use and its impact on individuals’ privacy rights.
Where consent is obtained, our lawful basis is Article 6(1)(a) UK GDPR.
Attendance at Plas Dolguog does not automatically constitute consent to promotional photography.
Event Photography and Opting Out
Where photography is planned at events organised by Plas Dolguog, we aim to notify attendees in advance through event information or booking communications.
Guests who do not wish to be photographed may inform our team before the event or speak to a member of staff upon arrival.
We will communicate these requests to relevant staff and commissioned photographers and take reasonable steps to ensure affected individuals are not identifiable in photographs used for promotional purposes.
We do not publish promotional photographs featuring identifiable children.
Consent from wedding couples or event organisers does not automatically extend to other individuals appearing in photographs.
Commissioned Photographers
Plas Dolguog may engage independent professional photographers to document events or produce promotional material on our behalf.
Where photographers process personal data on our instructions, we will ensure appropriate data protection arrangements are in place, including written processing agreements where legally required.
Photographers who use images independently, including for their own portfolios or advertising, are responsible for establishing an appropriate lawful basis and meeting their own data protection obligations.
We will obtain the necessary copyright permissions or licences before using photographs supplied by professional photographers or third parties.
Storage, Sharing and Retention
Photographs and related consent records are stored securely, with access limited to authorised individuals and relevant service providers.
Images may be shared with commissioned photographers, website providers, social media platforms, printers and marketing services for authorised purposes. Some providers may process information outside the UK, subject to applicable data protection requirements.
Photographs are retained only for as long as necessary for their intended purposes, with their continued use reviewed periodically. Consent records and privacy requests may be retained as necessary to manage permissions and demonstrate compliance.
Your Rights
Under UK data protection law, individuals have rights concerning their personal information, including access, correction, erasure, restriction and objection, where applicable.
Consent may be withdrawn at any time. Where consent is withdrawn, we will stop the relevant processing and remove affected photographs from platforms under our control in accordance with our legal obligations. Previously distributed printed materials or copies held independently by third parties may not be recoverable.
You have the right to object to processing based on legitimate interests and an absolute right to object to the use of your personal data for direct marketing.
